Review note: This policy describes the implemented website architecture. Qualified legal review is recommended before public production launch.

1. Information collected

The public newsletter accepts an email address and, optionally, a first name. Publisher registration and restricted-access requests may collect a name, company, position or title, business email, website, country, and the reason for requesting access. Publisher accounts also maintain account status, registration and update timestamps, and the last successful portal login when available.

2. Firebase services

The website uses Google Firebase services for authentication, Cloud Firestore records, protected server functions, security rules, optional App Check abuse protection, and hosting if selected for production. Firebase and the hosting environment may process technical information needed to deliver and secure these services, such as IP address, browser information, request metadata, and diagnostic logs.

3. How information is used

• Confirm newsletter subscriptions and honor unsubscribe requests
• Create and secure publisher accounts
• Review publisher and strategic-partner access requests
• Provide controlled project and build materials to approved accounts
• Operate, secure, audit, and improve the website and portal
• Respond to inquiries and meet applicable legal obligations

4. Newsletter choices

Newsletter subscribers can use the unique unsubscribe link included in email messages. Unsubscribing changes the record to an unsubscribed status rather than silently removing the suppression record, helping prevent accidental future mail. Subscription confirmation may use a double opt-in link.

5. Publisher access

Authentication alone does not grant portal access. A publisher record must also be active. Valor Endures Studios administrators can approve pending accounts, disable or re-enable access, review access requests, and manage registration availability. Administrators are authorized through a trusted Firebase custom claim rather than a client-side email list.

6. Email delivery and service providers

Transactional messages may be queued from a protected server function for delivery through a configured server-side email service. Private service credentials are not placed in browser code. Information may be processed by service providers that support authentication, data storage, hosting, security, and email delivery under their own terms.

7. Analytics

If enabled, non-sensitive events may record newsletter signup outcomes, publisher portal views, account-flow completion, access requests, logins, and protected-material downloads. Passwords, access-request messages, and sensitive account data are not included in analytics event parameters.

8. Data access and security

Firestore security rules prevent public listing of newsletter subscribers, publisher accounts, access requests, administrative data, and email queues. Publishers may read their own account record and approved portal content while active, but cannot change their own access status or view other accounts. No internet service can be guaranteed completely secure.

9. Retention

Records are retained as reasonably needed to operate the requested service, secure the portal, maintain unsubscribe suppression, document administrative actions, and meet legal obligations. Final retention periods should be confirmed during legal and production review.
